To log an inspection for one of your Tenants, an inspection type will firstly need to be made applicable to the tenant. To do this, please navigate to the “Settings” tab and then click the icon “Event / Inspection Types”.
You will then need to locate the relevant inspection type from the inspections listed on the left hand side of the screen. Once the inspection type has been located, click the pencil “Edit” icon. This can also be updated within the Accident, Incident & Claims and Environmental Management modules but only if the permissions are switched on for that specific RiskWise system, by selecting the correct modules inspections tab.
A pop up screen will then appear where you will need to select “Yes” on the option “Applicable to Tenants?” and then save.
You are also able to mass assign a Tenant to numerous inspections types. To do this, you will need to click onto the “Inspection Types – Mass Assign Features”.
You will need to use the drop down menu named “Inspection Type Setting” and then select “Assign Types Select to Tenants”. Once selected, please scroll down and tick the box next to the inspection types you wish to apply Tenants too. Once relevant inspections have been selected, you can save to apply these changes.
The unit in which the tenant is linked to must also have the same inspection type assigned to it in order for this to show when logging a new inspection. Furthermore, a tenant must be also be assigned to a unit in order for the inspection to be linked to a tenant. Once both have been linked, if you then go to log an inspection, select the relevant unit and you will then have the option to attach the inspection to the tenant.
Once you have logged the inspection, the Tenant will now show on the right-hand side of the “Event / Inspections Summary” page.
The Tenant will also show from a property “Inspection List” once you have clicked onto the relevant Inspection type. There will now be a column named “Tenant” and this will show which inspection has been logged against a Tenant.
Furthermore, if you go into a properties Action list, there is also a column which will show any actions that are linked to Tenants.
You will also be able to view how many Inspections / Actions have been logged against the Tenant by going into the “Tenant List” and then clicking onto the relevant tenants name.
By clicking onto the Tenants name you will be able to view the Tenants details and any Inspections, Actions and the History Log which have been raised against the Tenant.
