You will first need to create an Asset Type, and this can be achieved by navigating to the “Setting Cog” in the right-hand corner of the page, and then clicking on “Asset Types” under “Property Data Management”.
To add an Asset, Simply click “Asset Type”, as shown above, then the grey options tab in the top right, “Add”.
A pop-up screen will appear where you will be prompted to input the “Asset Type”, “name”, “description”, and “colour”.
Once the asset has been created, you will need to link this to a property. To do this, go to your Properties List at the top of the page and select the relevant property using the downward arrow next to the building name. Then once on the Properties Details Page, click on the sub-heading named “Asset Management”.
On the Property list page, click on the grey options menu in the top right-hand corner, and a menu will pop out. On this menu click “Add Asset”.
Once you have selected “Add Asset”, a pop-up screen will appear where you will need to input the relevant information such as the Description of the asset, the type, (which will be a drop-down menu where you will be able to choose the newly added Asset Type) the Serial Number, Location, and Quantity. You will also be able to upload any documents here if required. Once all the necessary information has been inputted, click “Save” which now will link this Asset to the property.
You can edit your asset at any time by clicking on the “Edit” icon in the far right-hand side of the screen. You can also archive an asset if it is no longer needed and this again can be done by editing the asset under the option “Is Asset Live?” if you placed this as “No” and save, the asset will now show as being archived.
When editing/updating an asset, you will also have the option to link an asset to a unit if the unit functionality is turned on and if a unit has been created against the property.
To view any Archived assets, navigate to the “Filter Live Status”, this tab will show you all “live” and “No Longer in Service” assets.
If you need to remove an asset type, this can be done by navigating to the “Setting Cog” in the top right-hand corner and “Asset Types”. Once you have found the asset you would like to delete, click on the three vertical dots to the right of the asset. This will have a pop-down screen with three options, “Add”, “Edit” or “Delete”. To delete an asset, click delete and this will remove the asset from the system.
However, if the asset is still active and has outstanding inspections/actions, RiskWise will not allow you to remove the asset type as an error message will appear. Before you can remove the asset, all outstanding inspections and actions will need to be completed.
You can also view any Assets from your “Action list”. To access this list, navigate to “Property List” and click it to get a pop-down where you will find “Action List”
This will take you to an Action table where you can find the “Reference Number”, “Severity”, “Action Date”, “Days to go”, Etc. There will be a column named, “Asset” on the right-hand side and this column will show any assets that relate to an action against the property.
