A review can be logged when a previous inspection has already taken place, and been given a ‘Next Inspection Date’. A review of an existing inspection can be recorded from either the year planner or from the property detail screen.
To record a review from the year planner, click any of the red ‘Overdue’ markers, or any 'Near Due Inspection' calendar markers. The available inspections found under that marker will then be listed out one after another, in tabular format.
The far right column ‘Further Action’ will show ‘Log Review’ if any of the inspections are available for review. Clicking on this will bring up the ‘Log Review’ popup, for that inspection. Events or inspections which were recorded as a ‘One-Off Inspection’ are not available for review.
Alternatively, you can access this popup from the 'Property Details' page through the property list tab. Click the ‘Green’ button, found on the right hand side of the screen.
The ‘Log Inspection’ popup will appear. You will be prompted if you wish to record a brand new inspection or a review of an existing inspection.
You will then be presented with a list of available inspections that are within the relevant time frame for review. The inspection type and inspection notes will be listed out, along with a drop down of applicable expected review dates. From the drop downs, select one relevant date, and click ‘Log Event’. The popup will refresh with the inspection data entry screen.
As you are logging a review, the inspection type and sub category will already have been set. Any notes from the previous inspection will also have been brought over to the review, but can be edited/removed if necessary.
The system will then ask for the date the inspection review took place. This does not have to be exactly the same as the expected review date. The existing review cycle can be kept by selecting ‘Continue on this schedule’.
If a new review date is required, to change the frequency, select ‘Be re-scheduled after this review'. If selected, you will be prompted to enter a new next review date. The system will then recalculate the review period and update the year planner automatically.
If no further review will be required, you can select ‘end after this review’. This will add this inspection review; however remove any review prompts from the year planner.
If you have a document you would like to store against this inspection, simply enter a document description, and then browse to its location on your PC/network using the 'Upload Document' tool. The file will automatically upload once chosen.
Multiple documents can be stored against one event by simply repeating this process.
Finally, ‘Actions Identified’ is a mandatory field which asks if any issues were identified as part of the event. If the answer is yes, details of any actions can be added on the next screen. If the answer was no, the inspection summary screen will be displayed, so that you may review what you have just recorded.
