The year planner is found under the 'Year Planner' tab at the top of the screen. The planner is your tool to view all inspections which are upcoming in your individual diary or for a property to which you are associated.
The year planner is automatically populated each time an inspection or action is logged on the system, so you do not need to worry about manually updating it.
The inspection types are listed down the left hand side of the year planner, with the months of the year long the top.
The year can be changed by clicking the forward and back icons on either side of the displayed year, displayed just above the calendar. Each of the months listed along the top of the calendar, when clicked on, drills down to show the individual days within that month.
To revert back to a view by month click on the 'Year Planner' tab at the top of the screen.
The first line of the calendar will display the number of outstanding actions, separated by their due dates into the relevant months. Clicking on any of these figures will display a tabular format of the actions.
Within the inspection area of the calendar, a Green tick will identify where an event/ inspection was due and has taken place.
A red calendar will identify where an event was due to take place, but for whatever reason has become overdue.
The red calendar symbol will be shown if there is an outstanding inspection even if other inspections of this type have already been completed for the given month, it will only be replaced with a green tick when all outstanding inspections have been completed.
A blue circle with a question mark icon will appear when a document/report has not been uploaded or when a document is expected to be uploaded to an inspection before completing.
An Orange pause icon will appear to show when an Audit Report is yet to be completed, as there are still some questions which have been unanswered. Once all questions have been answered and the audit report saved, the icon will turn into a green tick on the Year Planner.
Finally, an orange calendar image will appear where future events are due.
Each one of these markers can be clicked on and drilled down for further information on the inspection and any actions for the inspection.
Any outstanding actions for the inspections are shown as an asterisk next to the marker on the calendar.
You are now also able to log an inspection from the Year Planner. To do this you will need to locate the inspection type required and then click on the green plus icon, you will then receive a drop-down menu where you can choose the property where you wish to log the inspection. Once the property has been selected, you will be presented with a pop-up screen where you will need to input the inspection details.
Clicking on an inspection name will bring up a full list of events of that type which have occurred within the highlighted year along with their review date. A drop down box is present at the top of the screen which will allow the user to change this to include properties where no inspection has taken place.
The year planner is also the recommended route to record an inspection review.
To record a review from the year planner, click any of the ‘Overdue’ red circle markers, or any near-due inspection calendar markers. The available inspections found under that marker will then be listed out one after another, in tabular format.
The far right column ‘Further Action’ will show ‘Log Review’ if any of the inspections are available for review. There will also be columns which will show an Asset, Unit or Tenant which are linked to that inspection. Clicking on this will bring up the ‘Log Review’ popup, for that inspection. Events or inspections which were recorded as a ‘One Off Inspection’ are not available for review.
